Executive Board Meeting Minutes

Meeting called to Order at 7:00 p.m.

The Board members and the members of the BPC introduced themselves. The BPC members described the activities, characteristics, and future goals of their Club. JCC members gave a similar overview of our Club.  The BPC emphasizes socials, outings, and education. JCC has similar interests, plus a greater focus on competition compared to BPC. Experience indicates that JCC members value competitions and the programs when results are presented. Regarding outings, BPC members discussed a need to have signed liability waivers. There was general agreement that greater interaction between JCC and BCP is beneficial for both Club’s members. There was agreement that outings are important to both Clubs, and that greater sharing of information about each Club’s outings will benefit everyone. Leaders of both Clubs recognize that welcoming and involving new members is an ongoing challenge. There was agreement that a future merger of the two Clubs is possible, but that it would be a complex process. Further discussions about this will be needed.

Young McQueen gave a detailed treasurer’s report for 2023 and a projected budget for 2024. Young made a motion to accept the treasurer’s report as presented. Peter Fitzpatrick seconded the motion and it passed unanimously.

Young McQueen made a motion to approve the Minutes of the November 9, 2023 Board Meeting. Dave Wholey seconded the motion and it passed unanimously.

Ted Floore reviewed his meeting with SOTW staff regarding our meeting room. We do not expect any audiovisual upgrades in the room. A possible future donation to SOTW was discussed, but no decision was made.

Ted Floore discussed the current vacancies in the Vice President and Weekly Editor positions.  Craig Shier is going to do the Weekly on a temporary basis. Brian Leonard is willing to chair the print competition if he has assistance finding judges.

Peter Fitzpatrick reported that currently there are 88 club members.

George Hoskins reported that the minutes of all general meetings since November are now on the website.

George Hoskins discussed the process of calculating member’s points for 2023 and determining the annual awards. He stated that we have the points spreadsheet used in previous years. It was complete through 2022 but there were no 2023 entries. Due to the complexity of that spreadsheet, two new spreadsheets were created, one for competition points and the other for all other points. A final spreadsheet was created, listing every member’s total points and progressive award levels at the end of 2023. This was emailed to the Board members.

The meeting was adjourned at 9p.m.
